The Challenge
Managing ongoing client relationships generates a constant stream of communication overhead. Clients send emails asking for document copies they already received. Account managers field calls about status updates that are sitting in a system somewhere. Contracts, reports, and deliverables are exchanged via email threads that quickly become impossible to trace.
For one of our clients — a B2B services company with a portfolio of 80+ active enterprise accounts — this overhead was consuming a disproportionate share of the account management team’s time. Every week brought dozens of requests for things that should have been self-service. The team was reactive when they needed to be strategic.
The Solution
We designed and built a branded client portal that serves as the single point of truth for every client relationship.
Document hub: Clients can access all shared documents — contracts, proposals, reports, deliverables — organized by project and date. Version control is built in, so clients always see the current version without asking.
Request tracking: Clients submit inquiries, change requests, and support tickets through a structured form. They see the status of every open item in real time, with automatic notifications at each stage.
Project dashboard: Key milestones, timelines, and deliverable statuses are visible at a glance. Clients can see what’s in progress, what’s done, and what’s coming next — without scheduling a status call.
Secure messaging: A threaded messaging channel replaces email for project communication. All context is in one place, searchable, and attached to the relevant project.
The portal was built on SharePoint with custom branding and a structured information architecture tailored to the client’s service model. Role-based access ensures each client sees only their own data.
The Results
The impact on both sides of the relationship was significant:
- 65% reduction in reactive status-update requests to the account management team
- Client satisfaction scores improved by 22 points in the first quarter post-launch
- Account managers reclaimed an average of 6 hours per week
- Document retrieval time for clients dropped from days (email back-and-forth) to seconds
- New clients onboarded faster with a clear, professional first experience
The portal became a competitive differentiator — several clients cited it as a reason they renewed contracts.
